What manual UbyPort reporting actually involves
Without automation, reporting a foreign guest means: reading their details off a booking-channel message or a photo of their passport, logging into UbyPort, and typing each field in by hand — name, date of birth, nationality, document number, arrival date — before the 3-working-day deadline. Multiply that by every foreign guest, every booking, every week, and it adds up to real hours, plus real risk if a booking arrives on a busy day and gets missed.
Where the manual process breaks down
The failure mode isn’t usually “we never report guests” — it’s the one reservation that comes in late at night, the guest whose ID photo is blurry, or the week a staff member is out sick and nobody double-checks the booking inbox. Because the penalty applies per violation, a handful of missed reports across a year can add up to a meaningful fine, on top of the time already spent on the ones that did get filed correctly.
What changes with Best Guest
The guest fills in their own registration online before arrival — no one on your side is copying data from a message. Best Guest validates the submission, checks it against the actual reservation, and files the UbyPort report automatically. The same validated data populates your House Book and Registration Book, and the local accommodation tax is calculated per stay. You review exceptions instead of re-entering every guest by hand.
