What online check-in replaces
Traditionally, guest registration happens at arrival: a guest hands over an ID document, and someone at the property copies the details into a paper form or a spreadsheet. Online check-in moves this step earlier — guests receive a link (usually by email or SMS after booking) and fill in their own details on their phone or computer before they arrive.
Why it matters for compliance, not just convenience
Beyond saving front-desk time, online check-in is what makes automated compliance reporting possible. If guest data is captured digitally and validated at the point of entry, it can flow directly into UbyPort reporting, the House Book, the Registration Book, and accommodation tax calculation — without anyone re-typing it. Paper-based check-in, by contrast, requires a separate manual step to digitize the data before any of that can happen.
What a compliant online check-in form needs
For the Czech market specifically, an online check-in form needs to collect the fields required for UbyPort and the House/Registration Book (full name, date of birth, nationality, document number, address), validate them as the guest types, and — ideally — capture a digital signature as proof the guest submitted the information themselves.
